Your day to day
JOB OVERVIEW: Perform a variety of administrative duties for general managers and/or staff of an assigned department or hotel function. Adhere to federal, state and local regulations concerning health safety or other compliance requirements. DUTIES AND RESPONSIBILITIES:• Serve as first point of contact for callers and visitors contacting the office/department. Respond to inquiries and provide information in a prompt and professional manner and according to established procedures.• Act as primary point of contact for employees for routine inquiries regarding employment, policies, procedures, and payroll. Follow-up as needed to ensure resolution. Escalate serious matters to supervisor as needed. • Assist in monitoring Time Saver on a daily basis and correct punches and update employee codes as needed and dictated by schedules.• Organize and expedite flow of work; communicate and interpret instructions; and communicate information to staff or clients in manager’s absence. Refer persons to appropriate staff members for further assistance or information. Alert management of potentially serious issues.• Promote teamwork and quality service through daily communication and coordination with other departments. • Schedule employees to ensure proper coverage for outlets and have these ready for approval of Food and Beverage manager by Tuesday noon. PTO and vacations are to be discussed as a management team and approved/declined as per business needs. After approval/corrections send out to team members and post schedules for the following week.• Process IRD tips on a daily basis to have ready to turn to accounting bi-weekly along with payroll.• Coordinate the preparation of employee training sessions, and employee morale programs or events. May participate in presenting new employee orientation materials• Oversee cash handling and check/credit policies and procedures.• May routinely greet guests, serve food and beverage, and take reservations and maintain reservations book if applicable.• Prepare a variety of correspondence, reports, and/or presentations which may include:• Gathering and summarizing information from various sources• Analysis and summary of data• Creating spreadsheets, charts, and/or graphics• Maintain, complete and submit expense reports;• Entering, retrieving and/or manipulating data within software programs or databases• May monitor and report variances to departmental budgets or track departmental spend information to help maintain operating controls. • Setup and maintain filing systems, etc. Maintain an organized, clean, and professional work area.• Identify and assist in planning for the purchasing of supplies, equipment, facilities and services necessary to maintain an efficient office.• Complete and/or coordinate activities related to assigned projects; assist in establishing project timetables, action steps and status updates; follow-up, as appropriate, to ensure timely execution to meet established deadlines.• Beverage inventory to include perpetual inventories and ordering.• Respond in a prompt and professional manner to guest requests and complaints. Make appropriate service recovery gestures according to established guidelines in order to ensure total guest satisfaction. • Update, proof, and print new and current menus as needed. Monitor cleanliness and good presentation of menus for all meal periods including dessert and beverage for all outlets.• Assist in the research and turn in missing checks (comps, voids, etc.) as requested by accounting.• Provide outside vendors with meal tickets.• Perform other duties as assigned.
What we need from you
Qualifications and Requirements:High school diploma or equivalent and one year food service experience in a full service restaurant or similar setting. One year of office clerical experience, or an equivalent combination of education and experience. Some college preferred. Must speak fluent English. Other languages preferred. This job requires ability to perform the following:• Carrying or lifting items weighing up to 50 pounds• Moving about the outlet(s)• Handling food objects and products• Bending, stooping, kneeling• Use a keyboard to generate documents, correspondence, reports, presentations, etc. mostly while sitting.• Handling objects, products and computer equipment/keyboardOther:• Strong customer service and communication skills required with ability to effectively communicate with all levels of the organization. • Demonstrated ability to interact with guests, employees and third parties that reflects highly on the hotel, the brand and the Company.• Ability to maintain confidential information is critical.• Excellent computer skills including MS Word, PowerPoint and Excel. ADP/Timesaver experience preferred.• Ability to type at least 45 WPM.• Reading and writing abilities are utilized often when completing paperwork, compiling correspondence or performing other administrative functions, scheduling, and giving and receiving instructions.• Mathematical skills, including basic math, cash handling, are utilized frequently.• Problem solving, reasoning, motivating, organizational and training abilities are used often.• Alcohol awareness certification and/or food service permit or valid health/food handler card as required by local or state government agency.• May be required to work nights, weekends, and/or holidays.
