Adecco London are currently recruiting for a fantastic client of ours, based in the city. The main purpose of your role will be to supporting the team by taking responsibility for administrative duties.

Reception

·  Opening & closing reception, 9am-5.30PM. Reliving security & waiting for them to arrive PM.

·  Answering the main telephone, taking messages where needed.

·  Arrange meetings and interviews - Informing IT when equipment has been requested.

·  Schedule conference rooms to accommodate meetings.

·  Updating the office diary.

·  Setting up for a meeting. Tea, coffee, lunch.

·  Arrange lunch and fruit for a meeting.

·  Ensuring adequate stationery is in the conference rooms, and a phone list.

·  Conference room white boards to be cleaned weekly, checked daily.

·  Arrange couriers and taxis, giving staff costing's and timings.

·  Arrange external prints and scans.

·  Research for colleagues - Suppliers, trains, restaurants etc.

·  Clearing meetings directly after each meeting, and when opening up.

·  Opening the post when it arrives, and distribute.

·  Arranging external post, and ensuring it is sent everyday.

·  Keep records of Special and Recorded deliveries.

·  Greet all guests and ensure they have signed in before going any further.

·  Complete an in and out list, daily. Sending daily emails to the office manager.

·  Ensure that the Admin team is aware of all meetings the following day.

·  Monitor and distribute Recruitment emails to the management team, daily.

·  Upkeep of an interview schedule.

·  Helping with fire alarm tests, weekly.

·  Help to arrange staff lunch.

·  Updating the reception temp book.

·  Ensure holiday records are recorded in the reception diary.

Admin

·  Ensure all kitchens and bathrooms are fully stocked every morning by 9.30am, see stock book for details.

·  Full stock check once a week on supplies, with orders emailed to the Admin Assistant.

·  Filling invoices, delivery notes, statements and remittances.

·  Collating invoices with their delivery notes.

·  Collating timesheets monthly, and entering all information into a monthly spreadsheet for Finance Manager.

·  Sending a weekly email detailing the following weeks leave and meetings.

·  Project filling.

·  Covering IT and Admin assistance task when they are unavailable.
