About the Opportunity

Sanofi has an opportunity for you to join our Clinical Study Unit (CSU) as our Integrated Operational Support (IOS). to provide general administrative and operational support across multiple functions. This includes creating and maintaining departmental related trackers, correspondence and reports.  In addition, you will be responsible for preparing raw data reports, logistical oversight of new hire orientations and face to face meetings and serving as a subject matter expert for administrative systems used across the CSU.

You will be responsible for administrative activities required to be performed by an internal employee of Sanofi related to government, investigator sites or associated stakeholder submissions, invoices, etc. as per local requirements.

Assist/complete special projects, assignments and initiatives focused on the CSU business needs, aligned with the core internal and external partners. This resource is key for administrative management related to resourcing, management of various financial reporting, contracting and payments to vendors.  Responsibilities will include liaison across the business and in coordination of the local alliance managers, finance, procurement and the provider.

You will support local administrative needs of clinical trial management tasks to track and, in collaboration with other functions as appropriate, KPIs reporting of the CSU study teams, notifying CSU management of any known risks.

This role is allocated at cluster/country level and part of a global/regional network. Some specified tasks are managed at regional level and distributed between cluster IOS who can act as a back-up for each other when applicable. Network creation will promote harmonization at regional/global level, open knowledge sharing and promote the One CSU mindset.

Key Responsibilities:

·  General admin support - e.g. travel, expenses, meeting planning:
·  Help CSU Leaders prepare for internal meetings, attend meetings and take/distribute meeting minutes;
·  Admin tasks related to any internal initiatives.
 
·  To provide proactive management of all administrative aspects of financials such as:
·  Purchase orders and payments (all vendors-FSP and non-FSP and investigators);
·  Company stamp for non-study contracts;
·  Company stamp for payments;
·  Non-study related invoice validation;
·  Supporting CSU Leadership Team in managing oversight of CSU budget and interfacing with CSU financial controller;
·  Completing any admin necessary to monitor CSU claw back and collation (R&D tax rebates).
·  Provides administrative support for CSU staff on general HR and finance related topics. Assist CSU functions in the administrative tasks related to digital tool initiatives, the rollout of new tools (e.g. Veeva);
·  Provide support for business continuity plan tasks during crises, i.e., COVID, Hurricanes, etc.;
·  Works closely with various functions within CSU, including but not limited to Quality/Training/Safety Leads etc. This may include tasks related to assist with new hire onboarding and/or training of Sanofi Headcounts. Assist the team during audit on admin related tasks;
·  Responsible for onboarding of new/ team members and internal Sanofi systems (WorkDay, eBuy), facilities, logistics, HSE, etc.; this includes offboarding tasks as well as maintenance of CSU Distribution Lists. This includes Ordering equipment (non-vendor) for CSU colleagues;
·  Managing facilities externally (e.g. site set-up equipment for investigational sites, CSU archive sites oversight);
·  Affiliate connection for global and regional communications as necessary. Actively participate in spread of general information to the team.

To excel in this role, you will need to have:

·  A qualification in a scientific/medical/finance/administrative discipline is desirable but not essential;
·  Experience in pharmaceutical industry administration setting;
·  Project management;
·  Senior administrative assistant;
·  Knowledge of ICH/GCP guidelines and local regulations is a plus;
·  Previous experience with vendor and partnership management;
·  Previous experience supporting financials and contracting processes is desired.
