POSITION SUMMARY

The Operations Coordinator - Rooms Operations & Services will report to the Vice President Lodging Services, Europe. The role assists in the day-to-day function of the Operations Services Organization, provides administrative and clerical support to the management and team, with particular focus to the VP Rooms Operations & Services, is responsible for leading the delivery of high-profile projects for the discipline such as developing project plans, identifying and resolving issues and risks, providing timely updates to the Discipline Lead, coordinating project-level meetings, providing executive level sponsor reports, tracking project funds, and working collaboratively across the organization to ensure success, continually improving and evolving the support services provided by the team through enhancements to processes, tools and templates.

SCOPE

The Operations Coordinator - Rooms Operations & Services provides support / is responsible for all related administrative duties to support the Rooms Operations and Services, Europe discipline.

· Location requirements: The Operations Coordinator - Rooms Operations & Services is to be located at the Europe Office – Eschborn.

· Language requirements: High proficiency (speaking, reading and writing) in English is required.

· Travel Requirements: There is an insert 5% business travel required.

· All Brands operating in Europe

EXPECTED CONTRIBUTIONS

· Administration:

· Assists with the design and preparation of various reports.

· Design and upload of online tools: MGS, TEAMS, PGI, and others

· Creates and maintains shared folders and team performance tracking documents.

· Tracks and manages team vacation

· Maintains, collates and distributes all relevant activity reports.

· Coordinates venue, agendas, conference calls, and minutes for meetings.

· Coordinates all travel and hotel accommodation arrangements.

· Coordinates trainings (contact person for event, handle enrolments, prepare training materials)

· Maintains timesheets, diaries and schedule appointments / meetings for managers.

· Maintains confidentiality of information and proprietary materials.

· Responds promptly to requests for help and information.

· Communicates with property associates to provide information and resolve challenges when required.

· Acts as a central point of contact between the Europe Offices and Hotels.

· Performs other related tasks as assigned by management.

· Complies with Marriott Hotel Holding GmbH and Marriott International Hotels Limited Regional Office policies and procedures.

· Financial and Accounting Management

· Processes expense reports and invoices

· Manages / tracks multiple billing accounts for charge outs

· Owner Relations

· Coordinates property visits

· Coordinates owners meetings

· Project Management

· Manages Continent-wide projects and realizes expected project benefits.

· Develops and owns the project initiative plans, risk logs and other relevant project tools assigned

· Proactively manages the completion of project tasks to ensure deadlines are met.

· Identifies, manages and tracks risks, working with stakeholders to seek mitigations.

· Develops presentations, reports and other deliverables to a high standard.

· Troubleshoots issues by providing the transparency needed to successfully manage problems and make informed decisions.

· Tracking and Measurement

· Continually monitors project initiative progress and success, capturing and acting on lessons learnt.

· Prepares concise reports and updates for a range of stakeholders.

· Management Consulting

· Identifies issues and form hypotheses.

· Formulates, proposes and implements recommendations.

· Ensures stakeholders receive the assistance or resources required to implement the recommendations.

· Manages relationships with discipline and program stakeholders to ensure project outcomes are met.

· Strategic Project Leadership

· Helps to gain alignment among functional stakeholders.

· Provides processes and communication tools and templates that create accountability and drive results.

· Ensures deliverables meet needs and can be implemented and sustained in the Market.

· Shares project management best practices with key stakeholders.

· Executes Project Governance to manage issues escalation, project prioritization, etc.

· Supports the team to develop deliverables to a high quality.

Qualifications :

REQUIRED :

· Knowledge of Marriott International Key Brands and Strategies

· Strong administrative and project management background
