Purpose of Role
Executive assistant plays a very important role in providing support to the General Manager and performs many different tasks; provides the General Manager with information of all the departments and is responsible for keeping a perfect coordination between all departments and controlling their operation with regards to the brand standards, Guests Expectation Index and the highest comfort and satisfaction for guests.
Responsibilities
- To assist and responsible for administrative and general assignments from the
General Manager and of the A&G department.
- To answer telephone calls and take messages for the General Manager and
maintain all General Manager's files in accordance with established hotel
procedures and standard.
- To ensure efficiency of the administration of the A&G department.
- To take down and transcribe the minutes of meetings such as Executive
Morning Briefing and dictation from General Manager, etc.
- To prepare correspondence such as letter, fax, memo, complimentary
voucher, etc as assigned with a coding system (in Shared Folders) for tracking.
- To maintain office supplies stock.
- To be acquainted with the General Manager's activities in order to assist in
discerning priorities.
- To arrange appointments for the General Manager, reminds him of
appointments, important guests' arrival times and meetings.
- To handle all contact listings such as Owner contacts, Hotel contacts and
other supplier companies, etc.
- To handle the rosters and leave application records of all executive and
management such as annual, sick, public holiday, and day in lieu.
- To arrange quarterly Board of Directors meeting and prepare presentations
and translations for the General Manager.
- To serve as a liaison between the W Management Team and the owner on
behalf of the General Manager.
- Sees that guests' complaints and feedback are passed on to the General
Manager.
- To reply Thank You emails to guests who rate us “perfect 10 scores” on
Guests' Expectation Index site.
- To prepare daily VIPs' Welcome Cards Reports for the General Manager.
- To perform special duties as required by the General Manager.
