POSITION OVERVIEW

JLL is currently seeking a dynamic and qualified individual for the role of Brokerage / Office Services Coordinator to provide reliable, timely, and efficient support to our Mississauga office. The position entails working with a diverse group of internal and external Stakeholders at all levels of the organization. The individual will require the independent judgment to plan, prioritize, and organize a diverse workload. This role provides a wide variety of support services to the industrial brokerage team, Mississauga office, and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.

RESPONSIBILITIES

·  Greet and direct all visitors accordingly
·  Schedule meeting rooms and appointments
·  Coordinate and organize meetings, conference calls, video conferences, and net meetings and their related materials as required
·  Point of contact with building management. Handling all building requests such as maintenance to our office, providing clearance to tradesman, and janitorial needs.
·  Administrator for the office’s phone Portal. Responsible for assigning phones to new users, configuring the settings, troubleshooting issues etc.
·  Work with IT and HR to assist with onboarding of new hires. Assigning and setting up desk location, setting up handset, monitors etc. required IT.
·  Primary point of contact for communication between Mississauga office and National Practice groups.
·  Register guests with the building concierge and manage visitor guest passes
·  Record and relay information to appropriate stakeholders in a timely manner
·  Manage all mail and couriers, including but not limited to preparing courier packages, coordinating pick-up and delivery, confirming delivery/receipt with appropriate stakeholders, and resolving any related issues in a timely manner
·  Check invoices on AP System and file accordingly
·  Respond to basic client and general enquiries and escalate complex queries to the appropriate parties
·  Enter or process data, orders, requests, or information as required
·  Perform clerical or administrative duties as needed, Maintain the meeting rooms, ensuring they are clean, tidy, and ready for use
·  Any other reasonable duties and responsibilities assigned

Brokerage Coordinator

·  Assist in preparation of options reports for clients
·  Assist in the preparation and update presentations
·  Assist in conducting due diligence for client options
·  Assist in preparation of listing agreements, MLS forms, etc.
·  Assist in preparing commission invoices and tracking transactions on web-based application
·  Develop an understanding of basic real estate, and lease terminology
·  Assist in the collection of market information and preparation of market reports for client
·  Assist in tour set-up and creating tour books
·  Assist in preparation of materials for industrial team, such as offers, commission agreements, expenses, etc
·  Assist in scheduling for industrial team

QUALIFICATIONS

·   Post-Secondary education is an asset
·   2+ years of relevant experience or a combination of education and experience
·  Experience in the real estate sector is an asset
·  Excellent verbal and written communication skills
·  Excellent interpersonal and customer service skills
·  Demonstrated proficiency with all applicable software packages including but not limited to MS Windows and MS Office, including MS Word, Excel, Outlook, and PowerPoint
·  Excellent time management and organizational skills
·  Must be able to adapt and prioritize, meeting deadlines, in a fast-paced environment
·  Must operate with a sense of urgency, quickly responding to Stakeholders
·  Must have a positive, professional attitude
·  Must be detail oriented
·  Must demonstrate professionalism at all times
·  Must be able to work well independently with an ability to work collaboratively with others
·  Must be able to maintain confidentiality, utilize judgment, and work with minimal supervision
