Role: EMEA Occupancy Planner

Role Purpose

To manage the supply, capacity and demand of Client’s portfolio of space in a specific, geographic region.

Within the geography, can answer:  how much space is currently available, what are the workplace conditions, and what are bottom-up seat count projections by group.

This position is accountable for the ongoing maintenance of CAD drawings as well as the connection of the CAD drawings with the Computer Aided Facility Maintenance (CAFM) platform.

What this job involves

·  Provides a single point of contact for geography-related planning questions;
·  Reports the bottoms-up seat count projections by business unit for assist with long term planning
·  Tracks and reports projected versus actual seat counts;
·  Provides blocking and stacking plans
·  Reports the current space and occupancy information.
·  Maintains and secures business units’ agreement to block plans.
·  Develops preliminary program requirements for each department (by building, if necessary).
·  Develops migration plans and sequencing of group-level moves / relocations;
·  Educates local contacts on planning and space policies/standards, procedures and protocols, and notifies planning manager if they are not being followed;
·  Ensures planning is aligned with corporate guidelines, and that all scenarios maximize use of space;
·  Recommends and enforces space policies/standards, procedures and protocols; and guidelines.
·  Develops, maintains and reports space allocation plans, and if applicable, issues space allocation reports.
·  Participates in Audits (including seat assignments, occupancy, vacancy, labs & equipment).  Present Audit Data to Senior OP & Leadership.
·  Implement/Sell the Mobility Program, including conducting Utilization Studies & Work Pattern Surveys,
·  Measure, Monitor and report cost saving and value-added contributions
·  Assist in developing site-specific Planning Strategies with Senior Leadership.
·  Compile Quarterly Report Data
·  Attends kick-off meetings for new real estate acquisitions, major renovation projects and project moves.
·  Facilitates communication between other occupancy planners, planning assistants, CAD administrators, and other JLL team members.
·  Review and resolve headcount/seat count forecast, needs, concerns, and issues.
·  Ensure accuracy of planning database information.
·  Review and resolve campus/building-specific forecasts, needs, concerns, and issues.
·  Project Management / Facility Management to review stacking strategies, and to provide workload forecast related to project moves that are planned to occur based on stacking plans / strategy.
·  Collaborate with Project Management, Facility Management and Transactions on all Site Rationalization Efforts
·  Modify/create AutoCAD floorplan drawings
·  Properly capture the space changes
·  Maintain Master drawing files.
·  Capture adds or changes to attribution in CAFM tool
·  Changes based on Space category, Space type, Space standard, Employee name, Room Name, and Organization code
·  Periodically review the space & occupancy alerts reports
·  Perform draft test fits drawings
·  Support project management with the implementation of new projects
·  Assisting implementation of CAFM Updates/improvements

·  Degree in design, architecture, or engineering
·  2 years of Occupancy Planning/CAD/CAFM Technical and Project-Related experience in a Corporate Real Estate environment.  Strong understanding of occupancy planning, architectural design.
·  A strong working knowledge of CAD/CAFM Systems.
·  Excellent MS Office inc Excel, AutoCAD.
·  Experienced in managing CAFM systems.
·  Strong written and verbal skills.
·  Ability to communicate ideas in a concise and summarized manner without personal bias.
·  Outstanding interpersonal and relationship building skills.
·  Strong ability to collaborate with others.
·  Work is to be performed in a remote office environment with periodic visits to potential and current client sites and the JLL Headquarters for meetings and training.  Ability to work and coordinate a remote team is critical. Periodic travel to EMEA sites is a potential opportunity.
