Responsibilities

Overall Role

The Event Coordinator assists in the execution of internal and external events for clients, including conferences, training and hospitality. The role requires you to be extremely organized and be able to manage the logistics of multiple events simultaneously.

Major Responsibilities

·  Manage business unit requests for Meeting and Event Support made by phone and email and respond to or forward requests as appropriate.

·  Coordinate conference and meeting room setups and tear downs with business units and internal Corporate Services (CS) teams and vendors (Reception, Catering, Helpdesk, Multimedia, Security, etc.) and liaise with Building Management.

·  Operate the room booking system and service event requests.

·  Conduct meetings with business units as necessary and provide event planning and budgeting advice.

·  Propose layout patterns based on room capacity.

·  Manage event equipment (chairs, tables, portable stages, flip charts, signs, banners, etc.)

·  Support parking ticket arrangements for clients and visitors.

       

Knowledge and Skills Required

·  Minimum of 1-3 years of experience in Customer Service / Hospitality Industry.

·  Fluency in both English and Japanese (verbal & written).

·  Proficient in MS Office (Excel, Word, PowerPoint).

·  Works well with others and can build key relationships with cross-functional teams.

·  Excellent communication skills, both written and verbal, as well as interpersonal skills.

·  Time-management skills and the ability to work under pressure to ensure the efficient running of an event.

·  Highly motivated and able to work independently with minimum direction.

Able to see things from the clients’ stand points, listen and observe to anticipate clients’ needs.
