Job description


·  Manages time and logistics for executives supported including resolving conflicts, exercising sound business judgment, coordinating schedules with other internal/external executives.
·  Manages executive's travel including reservations, travel itineraries, travel expense processing, business and corporate charge account reconciliation. Understands business expense challenges/guidelines and monitors them in relation to travel and other areas assigned.
·  Brings potential problems to the attention of executive with recommendations for action. Keeps executive informed of due dates.
·  Maintains files according to records management specifications.
·  Ensures confidential treatment of documents. Significant responsibility for client's mail, including decision making on delegation to appropriate parties.
·  Engages with appropriate internal and external parties to resolve sensitive and complex issues.
·  Proficiency in utilizing all communication tools available ensuring timely and accurate handling. Answers and places telephone calls following IBM telephone excellence standards.
·  Organizes, prioritizes and maintains work flow to meet client requirements. Collaborates with team members to develop processes/procedures to ensure efficient operation of the executive/business area.
·  Handles on-going processes and procedures while interacting with appropriate staff (i.e. Communications, Human Resources, direct reports) to resolve external and internal client issues. Develop executive insight by learning the executive's organization, strategy and key players.
·  Assumes additional responsibilities as assigned.
