Job description
· Coordinate and administer all paper flow within the Division
· Ensure that employee facilities are maintained and are within standards, i.e. Employee locker rooms, employee restaurant and housing and employees' smoking area
· Type, file, and upkeep of all correspondence related to the department
· Set up a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval. Ensure all files are kept up to date at all times
· Answers telephone and give information to callers or routes call to appropriate official and places outgoing calls
· Greets visitors, ascertains nature of business, and conducts visitors to employer or appropriate person
· Maintains timekeeping records and schedules for the Division
· Routes incoming mail and outgoing correspondences
· Prepare submission of medical claims to insurance company once a month
· Ensure the hotel has administered professionally in meeting government requirements, and maintained close coordination with Department of Manpower/Labour Bureau, Department of Immigration, Hygiene and Health authorities etc.
· Maintain all applications file and database
· Ensure that all applications are reviewed and that acknowledgment/reject letters are sent out 2 weeks from date of receipt.
· Supports the scheduling of interviews for candidates.
· Assist in recruitment activities, prepares and posts vacancy announcements; prepares and places newspaper advertisements for open positions; contacts applicants for screening interviews; coordinates and attends job fairs; screens applications and resumes; schedule interviews for candidates and refers suitable candidates to Department Heads; checks and documents applicant references.
· Prepares letters of offer
· Handle Statutory compliance viz. PF, ESIC, Apprentice etc.
Desired profile
Qualifications :
University Degree/Diploma – preference given to Human Resources. Experience of working in hotel-related operational positions would be a useful benefit. Sound knowledge of Statutory compliance.
