The HPE Global Communications organization is looking for an Executive Assistant to support the Global Communications Leadership Team.

Based out of our brand new state-of-the-art headquarters in San Jose, California, this position will report to the Chief of Staff for Global Communications, but will support a small team of Communications leaders across our Employee, Executive, Corporate, Product, and Digital Communications teams. 

Day-to-day administrative tasks will include scheduling meetings, managing calendars, booking travel, completing expense reports, preparing documents, etc. However, you will also have opportunities to learn and grow professionally through stretch assignments and exposure to a broad spectrum of communications work.

The ideal candidate for this position:

·  Is comfortable managing multiple tasks for multiple leaders in a fast-paced, fluid environment; and, can learn to anticipate team needs.
·  Has strong written, verbal, and interpersonal communication skills; high attention to detail; and, respect for deadlines and confidentiality.
·  Is proficient in Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, and SharePoint. 
·  Is open to learning new things, growing professionally, and having fun in the workplace.

Responsibilities:

·  Book flights, hotels, ground transportation, and other miscellaneous travel needs using company tools and adhering to company policies.
·  Managing executive calendars, including scheduling recurring team meetings and adjusting schedules to adapt to ever-changing scheduling needs and priorities.
·  Collect receipts and submit expense reports using company tools (Concur, etc.) and adhering to company policies.
·  Plan, schedule, and prepare for meetings, teleconferences, video conference calls, and virtual classroom sessions using internal tools (Outlook, Skype, BlueJeans, etc.) and technololgy.
·  Prepare and edit documents, spreadsheets, and PowerPoint presentations.
·  Upload content to team Sharepoint site and ensure documents and calendar are current.
·  Support project management activities, including developing agendas, taking notes in meetings, updating workback plans, reminding team members of deadlines and deliverables, etc.
·  Work with counterparts on finance team to review budgets, submit purchase orders, submit invoices, etc.
·  Support team onboarding activities including scheduling interviews, preparing welcome packets, updating organizational charts, etc.
·  Represent the Global Communications leadership team and organization in a positive and professional manner to internal and external parties.

 Requirements:

·  3-10+ years general administrative experience, or equivalent combination of experience and college level education.
·  Exceptional organizational skills; this role requires orchestrating many diverse elements and a critical attention to deadlines and timing.
·  Experience successfully working on multiple issues/projects simultaneously.
·  Able to work independently to manage diverse workload and coordinate with multiple team members.
·  Strong proficiency with Office, including Outlook, Word, Excel, PowerPoint and SharePoint. 
·  Experience submitting purchase orders and statements of work.  
·  Proven experience with handling confidential information with integrity
