Role Summary/Purpose

This role works with Marketing leaders and is responsible for managing, planning and executing the operational, logistical and financial aspects of exhibits, events and experiential marketing activations. The Exhibits & Events Specialist will project manage a variety of marketing experiences including exhibitions and events as part of the broader U.S. and Canada Events & Exhibits team reporting to the Marketing Director, Events and Exhibits. Travel can be up to 30+%
Essential Responsibilities

• Collaborate with product and regional marketing stakeholders to plan and execute seamless and impactful brand experiences from start to finish
• Provide internal stakeholders with best-in-class exhibit and event solutions that align with the marketing strategy, budget and key objectives
• Coordinate with demand generation teams to measure and maximize lead generation and ROI with exhibit and event technologies
• Liaison with exhibition host and venue as primary point of contact for securing space, show management services, floor plans, production schedules, host/venue requirements, etc.
• Management of all exhibition and event vendors including RFP process, vendor quotations, invoicing, project deliverables, on-site execution and payment
• Comprehensive budget management of all exhibit/event elements
• Coordinate transportation, catering, housing and rooming blocks when necessary
• Coordinate with the broader Events and Exhibits team around auxiliary events/experiences in conjunction with an exhibition for seamless event planning.
• Coordinate site inspections and exhibition or event travel schedules for setup/show/dismantle
• Align and support multichannel marketing efforts for virtual and hybrid exhibition/event experiences
• Support Marketing Director, Exhibits and Events with annual forecasting and reporting, special projects and strategic planning initiatives

• Aware of and comply with the GEHC Quality Manual, Quality Management System, Quality Management Policy, Quality Goals, and applicable laws and regulations as they apply to this job type/position
• Complete all planned Quality & Compliance training within the defined deadlines
• Identify and report any quality or compliance concerns and take immediate corrective action as required
Qualifications/Requirements

• Bachelor of Marketing, Communications, Event/Exhibition Management or related field required
• 2+ years’ experience planning and implementing trade shows/events and a demonstrated track record of developing award-winning trade shows
• Experience with exhibit show services, labor negotiations and lead generation
• Excellent communications skills, both verbal and written
• Proven organizational, project, and planning skills
• Proven budget and vendor management experience
• Ability to work through change and pivot in an evolving exhibit and event environment
• Solutions oriented and willingness to work in an effective and professional manner with all levels of stakeholders
Desired Characteristics

• 5+ years’ experience planning and implementing trade shows/events and a demonstrated track record of developing award-winning trade shows or events
• Experience in healthcare or pharmaceuticals a plus
• Experience with virtual events and hybrid activations a plus
• CVENT certification and/or CTSM (Certified Trade Show Manager) certification
• Experience in working with diverse global teams
• Basic design/engineering skills
