Position Description

CGI Federal is seeking an Executive Assistant to manage the administrative duties for a team of senior executives and associated operating units. We are seeking someone who is interested in being a key contributor to this fast paced and rapidly growing business.

Your future duties and responsibilities
The Project Coordinator will work closely with executives on administrative and operational initiatives. Tasks include, but are not limited to: overseeing all scheduling activities, assisting in setting up and running meetings and events (internal and external), assisting with communications activities, managing local, national, and international travel logistics, working with the CRM tool, and completing assigned project work. This individual will provide completion of assigned project work and ad hoc data requests. As the gatekeeper of communications, the Project Coordinator will interact frequently with external clients as well as internal executives. Importantly, this individual will have responsibility for obtaining and submitting signature approvals for executives in the unit.

Required qualifications to be successful in this role
To be considered for this role, candidates should have 7+ years of demonstrated success supporting a busy team and have a positive, can-do attitude. Candidates must be able to manage heavily overscheduled calendars through the use of Outlook and be proven analytical thinkers who can identify and weigh different options for solving problems and then make an independent decision on how best to resolve issues. Strong organizational skills are essential. All candidates must have extensive experience with Microsoft Office including Outlook, Word, Excel, and PowerPoint.

Strong written and oral communications skills and the ability to communicate effectively with senior managers and customers
• Willingness to build and nurture relationships across the enterprise and with key external stakeholders
• Ability to manage overscheduled calendars including the judgment to screen meeting and message requests to determine appropriate priority level and forethought during local travel to plan out logistics and determine alternative plans
• Analytical thinkers who can identify and weigh different options for solving problems in a dynamic environment; must enjoy multi-tasking, shifting priorities, and have the ability to think and react quickly
• Initiative and creativity to come up with ways to improve efficiency and organization; constant learning and organizational improvement
• Energetic, professional corporate image, and positive attitude and willingness to learn and take on new tasks
• Ability to remain calm when situations occur and resolve them quickly and professionally; unflappable
• Ability to handle confidential material appropriately
• Take on special projects as needed
• Ability to work outside of business hours as needed (not expected at all times)
