Job description

We want to hire someone to join the Company Secretarial team that is responsible for supporting Aviva Investors. The successful candidate needs to have either started their Company Secretarial career or have a good understanding of the role of a Company Secretary and the desire to take the professional qualifications to qualify as a Company Secretary.

The Company Secretarial (CoSec) function is a core Aviva Group team that provides high quality support and advice to the Aviva plc board and all the other legal entity boards including Aviva Investors, their board committees and senior management. The function is also responsible for ensuring Aviva's compliance with corporate law and regulation, and for setting, implementing and enforcing governance policies and procedures. As a Company Secretarial Assistant, you will provide support for and get involved in all these activities for Aviva Investors.

Role and Responsibilities

  • Assisting with the delivery of timely and accurate company secretarial and corporate governance support for boards, committees, directors and senior managers within the Aviva Investors (AI) business.
  • Assisting with AI board and committee meetings, directors’ training and ad hoc engagement meetings as required.
  • Assisting more senior colleagues in the analysis of issues and queries presented to the department.
  • Carrying out a range of processes and use relevant IT systems, ensuring that they are effectively maintained and coordinated, recommending improvement where possible.
  • Preparing standard management information reports. Undertaking factual research for more senior team members.
  • Examining documents for their sufficiency, identifying issues that need to be resolved where appropriate.
  • Responsible for statutory & regulatory filings relating to company secretarial activity.

Skills and Experience

  • Previous experience of working in a CoSec team is vital.
  • Work experience within the financial services industry would be greatly preferred.
  • Knowledge of corporate law, administration and governance.
  • Studying for the ICSA qualification/ICSA qualified or equivalent would be advantageous but is not necessary. The successful candidate will be encouraged to pursue this qualification if not already doing so.
  • Self -motivated and organised.
  • Good written and verbal communication skills.
  • Computer literate and quick to learn new systems.
