DESCRIPTION

The Training and Certification organization is looking for an Executive Assistant to work with two Directors in our fast-paced, exciting, and growing teams. We need someone who is creative, customer obsessed, resourceful, organized and self-motivated with strong judgment, high integrity.

In this role, the Executive Assistant will act as a seamless extension of their leaders and work closely with the AWS teams, other Executive Assistants, and business partners throughout the organization. In addition to core duties, this role requires working internally and externally with strong project management and event coordination skills as the role partners with the broader team to support marketing initiatives, external partner engagement, and external events (ranging from small invitation-only events to large events including re:Invent).

Key responsibilities include:
· Provide seamless administrative and project management support
· Anticipate challenges and plan ahead accordingly to develop day-to-day schedules and prioritize activities for two Directors
· Schedule meetings (both domestic and international) with consideration to those attending, time constraints and ensuring schedules are in sync and proper documents or presentation materials are prepared
· Coordinate domestic and international travel and trip schedules
· Manage expense report coordination and submission
· Manage team space, including moves and reconfigurations
· Create agenda for weekly team meetings, and anticipate possible topics to cover at these meetings, as well as tracking 1:1 meeting agendas
· Lead efforts to organize team meetings and social events (all-hands meetings, off-sites, etc.)
· Support events (virtually and onsite) including executive management, event coordination, and other support as needed (requires occasional travel)
· Understand business priorities and objectives of the team to plan the annual calendar and facilitate the integration and prioritization of business activities
· Lead, track, and drive completion of key deliverables, including keeping in close contact with project leads and decision makers, obtaining updates, and following up on outstanding items
· Edit, proof, and print key materials as needed for presentation to Senior leadership team
· Organize, prioritize, and appropriately handle time-sensitive, highly confidential information
· Manage team policies and procedures, and suggest and lead process improvements and the adoption of new technologies
· Build relationships with Executive Assistants throughout the team and across the company
· Be a team player, provide additional support to the extended management team as needed

Desired profile



BASIC QUALIFICATIONS

· 5+ years of experience as an Executive Assistant
· Experience with executive level calendar management, travel coordination, and expense management
· 3+ years experience in an executive administrative capacity for a medium to large size company
· Experienced user in Microsoft Outlook, Word, Excel and PowerPoint
· Strong written, verbal, and interpersonal communication skills
· Detail oriented with exceptional organizational skills
· Ability to handle multiple tasks and maintain commitment to deadlines
