I am looking for an experienced Administrator to work on a 12 month Contract for a global FMCG client based in Slough Berkshire.
Are you a self starter, who can solve problems, analyse data and assess information, has excellent planning and organisational skills and can communicate effectively at all levels and with multiple stakeholders then this is the role for you.

BACKGROUND

Organization Simplification (O-S) is one of five global programs aimed at transforming our Consumer Packaged Goods businesses. The goal of O-S is a step change improvement in the efficiency and simplicity of the organisation. In order to achieve this there are multiple projects focused on the specific businesses and functions.

For the overarching goal to be achieved, there is the requirement to have central co-ordination and support. This is provided by an O-S program team, headed up by the Program Leaders, and comprising functional specialists in Finance, Change Management, Organisation Design, Legal and Communications, together with the Program Director. This team develops solutions for the projects to use, and manages tracking of progress across all projects, reporting out status and issues to the Mars Leadership Team.

THE JOB

The purpose of the OS Program Administration role is to implement and operate the necessary administrative processes and infrastructure for smooth operation of the OS Program team in delivering the team commitments. The role reports into the Program Director. The incumbent will have the opportunity to contribute to a major change initiative operating at a global level and delivering significant tangible benefits. It provides scope for utilising great administrative skills and for contributing ideas and solutions to enable team success.

As a global program, there is a multi-cultural mix of team members based across different countries & time zones, with virtual ways of working as the norm.

KEY OUTPUTS

In this role you will be responsible for:

·  Support to the Program Management Office (PMO) on all of the key program tracking, reporting and governance processes

·  Data collection and collation, population of templates, with co-ordination across all of the data sources (individuals and systems) to give visibility of targets, progress to date, risks/issues and upcoming milestones

·  Preparation of summaries, identifying information gaps and anomalies

·  Operating the processes and workflows necessary for governance & tracking, identifying and implementing efficiency improvements.

·  Contributing to the development of the integrated savings tracker and program metrics dashboard

·  Co-ordination of program management documentation and processes,

·  Support in tracking the OS workstream plans, actions list, & other project/program management related activities

·  Manage the OS Program Calendar, liaising with all team members and relevant stakeholders to maintain this, identifying potential conflicts & interdependencies,

·  Organise onsite / offsite PMO-driven meeting events, including calendar invites

·  Managing the administration of the OS Program SharePoint and OneNote sites across the OS program team:

·  Support the needs of the work stream leads by leveraging SharePoint and One Note capabilities, organising the sites for ease of use.

·  Maintain user access & security to ensure correct access levels are being applied

·  Liaise with all program team members to encourage great knowledge management & documentation

·  Support to OS program team members where there is the need for co-ordination of data, processes or events in the workstreams they are leading

·  At the outset this is likely to include helping to develop the processes for information flow/sharing within the functional areas.

·  Ongoing this may include support for operation of the processes, management of data, tracking of project plans and ad-hoc event management.

·  Provide PA support for the Program Director and OD Director.

Qualifications

Essential:

- Strong proficiency in MS Office (Outlook, Excel, Word, PowerPoint, One Note)

- Meeting planning experience and proficiency

Desired:

- Proficiency in MS SharePoint site administration

- Project management knowledge, including use of project planning tools such as Smartsheet
