HR Assistant

Our client, London's largest housing association are looking to recruit a HR Assistant to work in partnership with business managers and HR colleagues to provide an efficient, effective, consistent and customer focused HR/Training administration and support service to managers and staff.

This will be achieved by working to the established processes and procedures laid down in the HR and training manuals using and maintaining manual and computerised systems in an accurate and timely manner.

·  Location: Kings Cross

·  Pay: £13.31-£14.70 per hour

·  Hours: Monday-Friday, 35 hours

·  Duration: March 2020

Job Description

·  Provide HR, T&D and Payroll administration including producing letters, drafting contracts, processing payroll actions in the payroll and T&D systems, checking and saving absence certificates, preparing ex-employee references and entering information into the RMS.

·  Handle Respond to queries and requests from managers, staff, candidates, ex-employees and HR colleagues in a professional and customer centred manner; escalating to an HR Adviser where appropriate. These could be via the team phone, email or face to face.

·  Manage the pre-employment/annual/cyclical processes (referencing for candidates, DBS checks, eligibility to work, declarations of interest and other checks and audits) referring to the HR Adviser as necessary.

·  Assist in coordinating recruitment campaigns; including creating recruitment packs, uploading recruitment adverts on to the RMS and other websites/agencies, preparing for/attending job fairs and assessment centres, preparing for interviews and assessments sending candidate's assessment and interview invites, marking tests, notifying unsuccessful candidates on their application/interview or generally keeping them up-to-date on the vacancy, dealing with "on the day" arrangements and queries etc.

·  Undertake administrative/clerical duties such as filing, mail outs, mail merges, scanning, photocopying, and collating consultation and other meeting packs, distributing post, preparing purchase orders, arranging for registered or recorded delivery.

·  Set up and service formal meetings and internal training as required; setting up rooms/equipment, printing/collating documents and packs, taking and recording minutes, initiating actions arising as appropriate.

·  Assist in the maintenance of HR and Training in-boxes, check and save absence certificates, manage, create and book on externals training requests, respond and distribute information, referring to the HR Adviser as necessary. Ensure these in-boxes are well maintained.

·  Ensure HR systems, files, policies and procedures and other documents are kept up to date and accurate.

·  Provide support and cover across the HR and Training department.

·  Undertake project work and research for the department as required.

Skills/Experience

Essential

·  Proven experience of working in a customer focused administration role and the ability to develop successful working relationships with internal and external customers.

·  Excellent PC skills and knowledge of Microsoft Office packages.

·  The ability to work accurately using computerised or manual data and complex databases/systems.

·  The ability to work flexibly according to the demands of the department and swiftly changing priorities.

·  The ability to understand and precisely follow policies and procedures and provide guidance to managers, staff and candidates.

Desirable

·  Experience using itrent.
