Adecco are currently recruiting for a HEALTH AND SAFETY ADMINISTRATOR to work for a Local Authority based in SUTTON.

HEALTH AND SAFETY ADMINISTRATOR

SUTTON

FULL TIME - 36 HOURS PER WEEK

TEMPORARY ROLE - MINIMUM 3 MONTHS

£14.00 PER HOUR

Job role:

Provides co-ordinated and consistent administrative support for the effective delivery of the health and safety advisory service. It will involve monitoring and responding to emails, logging accidents, answering telephone enquiries, planning training courses and issuing invoices.

Customer Service:

● Provide front line and initial advice on all aspects of health & safety (non-complex), responding to emails, telephone calls and other forms of correspondence - recognising when to refer matters that are urgent or complex to the H&S consultants. ● Supporting Head Teachers and/ or Line managers during visits by enforcement authorities, such as the HSE and LFEPA.

Accident Reporting and Investigating:

● Collate and record accident reports both paper and online, ● Following assessment by H&S consultants - report accidents and incidents to the HSE (RIDDOR) on behalf of the Council(s) and schools where required, ensuring all necessary administration is completed. ● Maintain spreadsheets and/or databases and produce statistics and reports to show trends identified and analysed, etc

Health & Safety Administration;

● Organise and actively promote health and safety meetings including the preparation of agendas, taking and distributing minutes. ● Maintain a wide range of documentation and information relating to H&S-related projects and activities, ensuring that correspondence and documentation is distributed accurately, filed securely and retrieved easily, using electronic systems as far as possible ● Maintain a database of relevant information for monitoring and auditing health & safety performance of directorates and schools. ● Support health and safety trainers in ensuring training materials are available for internally run courses and training is promoted where required. ● Raise purchase orders and processes invoices where required. ● Ensure lists of fire marshals, first aiders are kept up-to-date and staff have access to training and support where identified. Maintain first aid training databases to ensure those trained are recorded and given opportunities to refresh this training. Liaise with the L&D team to ensure room bookings, course details for attendees, etc. where appropriate

ICT

● Optimise the use of information technology to improve efficiency e.g. "shared" Google documents and to minimise reliance on paper-based working. ● Update the H&S information on the intranet and extranet sites. ● Ensure the DSE Computer online database system is kept updated by adding and removing staff as required. ● Ensure the database of known violent/aggressive individuals is kept updated by processing reports, updating the systems and producing auditing reports of usage. ● Prepare, edit and format documents using relevant Google applications
