Executive/ Personal Assistant to the CEO

Fantastic opportunity to work alongside CEO for a very prestigious client based on the outskirts of Kendal, a diverse, dynamic medical sales and manufacturing company.

Candidate Profile:

A proactive, highly motivated individual that is focussed on the CEO's objectives and understands how to progress these forwards. Must be highly efficient and organised, confidentiality is a key trait as well as being able to assist multiple individuals and areas of the business and represent the CEO and company ethos at all times.

Required Competencies:

·  EA/PA and Customer service experience

·  Exceedingly strong oral and written communication skills

·  Use of a range of software including: email, spreadsheets and data-bases

·  Organisational and time-management skills

·  Problem solving skills and project management ability

·  Minute taking

·  Event management capability

·  Project Management experience

Preferred but not essential:

·  Qualifications in secretarial studies, management, HR, accountancy, project management.

·  Short hand and minute taking

·  PA memberships or affiliations

·  Interest in the environment

Responsibilities Include:

·  Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

·  Maintains customer confidence and protects operations by keeping information confidential.

·  Manages the CEO's email account

·  Manages CEO's expenses

·  Seeks to improve and streamline processes to increase productivity

·  Manages the CEOs diary to ensure perfect planning, deadlines and expectations are met.

·  Liaise with the whole management team to ensure timelines are met, content as expected is shared with the CEO's and actions are taken as required.

·  Arranges travel, visas and accommodation and on occasion travels with the CEO to take notes or dictation at meetings or to provide general assistance during presentations;

·  Prepares detailed minutes of meetings and distributes said minutes to the relevant personnel.

·  Conserves CEO's time by reading, researching, and routing correspondence; drafting letters and documents, rerouting correspondence as appropriate.

·  Prepares reports by collecting and analysing information. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

·  Represents the CEO by attending meetings in the executive's absence; speaking for the executive.

·  Completes projects by assigning work to clerical staff; following up on results.

·  Respond to all customer enquiries in a timely and professional fashion.

·  Using a range of office software, including email, spread-sheets and databases; create and maintain records to enable the smooth running of the business.

·  Assist, Manage and Maintain the Filling system to ensure easy retrieval of information when required.

·  Assist in the maintenance and revision of ISO documentation, policy and procedures.

·  Adhere to and promote all company policies.

·  Assists as required with the international side of the business.
