My client is looking for an administrator to join their Swansea team.

Responsibilities

·  Maintain and ensure documents are kept accurate and up to date, both held on file and electronically

·  Answer and respond to telephone calls in a professional manner

·  Process orders from online marketplaces including the website, eBay and Amazon. Main duties are to print out packing slips and generate postage labels for the warehouse team. Contacting customers regarding any issues with their orders

·  Raise purchase orders for new equipment/stock when required

·  Create basic reports for analysing data

·  Update records and company policies where necessary

·  Create agendas and minute take at staff meetings

·  Liaise with office and warehouse staff effectively

Essential Skills

·  Previous experience of working in a busy office environment

·  Extremely well organised and the ability to multi-task

·  Confident and able to deal with people at all levels and backgrounds

·  Experience or knowledge of online marketplaces for selling, such as eBay and Amazon.

·  Tasks include:

·  Printing invoices/dispatch notes

·  Generating shipping labels

·  Contacting customers via telephone and email etc.

·  Managing feedback and reviews

·  Experience of a using a Content Management System (CMS) such as Magento, WordPress or OpenCart

·  Experience of using a cloud-based accounting software such as Kashflow,
Xero, or Sage

·  Experience or knowledge of inventory management systems and the ability to learn to use bespoke software for updating stock levels

·  Good customer skills and a friendly telephone manner

·  Ability to use own initiative and make key decisions

·  A flexible approach to work and a team player

·  Ability to adapt to new changes and be a quick learner

·  Adept at using Microsoft Office programs including Word, Excel and Outlook for common day to day activities.

Desirable Skills

·  Book-keeping and Payroll experience

·  Project management

·  Knowledge of hot foil or digital printing

·  Experience of using graphic design software such as Illustrator and Photoshop

·  Knowledge of the import/export sector

·  Ability to drive and access to own transport

Other requirements related to this role

Due to the number of different products we sell and how they will need to be labelled appropriately, the successful candidate will need to spend some time within our warehouse in order to familiarise themselves with both the products we sell and the correct shipping methods i.e. Large Letter or Packet.
Knowledge of how the postage requirements work in practice can only then be understood.
