We are looking to engage an Office Assistant reporting to the Country Manager. This function provides an initial point of contact with the organization and will support the Country Manager on all aspects of organizational and administrative tasks, including team coordination, agenda management, contact management, travel organization and administration etc. The successful candidate will also support the Country Manager with a vast variety of tasks to ensure the smooth running, and reception manning in Italy

Main tasks and duties:
• Supporting effective management of Country office.
• Reception manning, handling incoming calls, ensuring visitors are welcomed, informed of HSSE policies and well taken care of.
• Supporting the Country Manager with organizing office operations & procedures; tracking of invoicing, receiving and expediting correspondence; filing systems; requisitions; preparing required documents, material and supplies; monitoring clerical functions.
• Organising internal and/or external meetings, taking minutes if needed. Preparing and distributing reports and memos.
• Ensuring that administrative systems are functioning smoothly and that office policies & procedures are adhered to.
• Implementing procedures for visitors, arranging travel, hotel bookings, guests' accommodation.
• Supporting the Country Manager with any ad hoc requests.
• Coordinates purchase of stationery supplies and beverages and ensure adequate supplies on time
• Maintain and update the contact database for suppliers, stakeholders and contractors
• Coordinate cleaning services
Main requirements:
• Demonstrated experience as an Office Assistant with a strong focus on reception manning in a multinational company. University degree in any discipline would be a plus.
• Excellent customer service skills.
• Excellent organisational, communication, prioritising and multitasking skills.
• Strong focus on details and timely delivery.
• Strong experience in working with different stakeholders.
• Positive, ‘can do' attitude.
• ‘Hands on' mentality.
• Good knowledge of IT / data applications including Ms Office, Outlook and databases.
• Experience in SAP applications would be beneficial.
• Italian native as well as strong English language skills.

Contract : 10 month and possible extensions
